Formula & assumptions

Baker's percentages: total dough = flour × (1 + hydration% + salt% + yeast%). Usable dough = total × (1 − scaling/bench loss%). Balls = floor(usable ÷ ball weight).

Portion creep cost = (actual − spec grams) ÷ 1000 × cheese price per kg × pizzas per week; monthly = weekly × 52 ÷ 12.

Food-cost variance = monthly food sales × (actual food cost% − theoretical food cost%). Theoretical comes from recipe costing; actual = (opening stock + purchases − closing stock) ÷ food sales.

Assumptions you control: all prices and the loss % (dough stuck to tubs, scraps, test balls). Fermentation weight loss from CO₂/evaporation is small and folded into the loss %. Defaults are illustrative, not benchmarks.

MarginEdge is the stronger Xero tool: it posts bills, daily sales journals and bill payments, and can do it automatically, for one flat US$350 a location. MarketMan is cheaper from US$249 and good at inventory and recipe costing, but its Xero link is mainly a manual invoice export you then approve inside Xero.

How we compared them

We read both vendors’ pricing pages and their Xero help articles on 4 November 2026. We have not connected either product to a live Xero file for this article, so we describe what each vendor documents and do not report sync times.

MarginEdge says invoices are processed 24–48 hours after it receives them before they can flow to accounting. It can split one product across categories by percentage, for example lemons 70% kitchen and 30% bar, and has a close-books lock so late invoices go into the current period.

Which bookkeeper wants which

  • Pick MarginEdge if your accountant wants Xero to be the full picture: bills, daily sales and cost of goods without re-keying. It costs more for a single site, but the price does not rise with invoice volume.
  • Pick MarketMan if inventory counts, ordering and recipe costing come first and your bookkeeper is fine approving imported bills in Xero. Growth at US$299 removes the 50-scan limit, which a busy kitchen can pass quickly.

Either way, recipe costs are only as good as your yields. Check dough and prep yields with the pizza recipe yield calculator above and read our high-hydration dough recipe costing guide.

FAQ

How does MarginEdge send invoices to Xero?+

As bills in Accounts Payable. MarginEdge also sends journal entries for daily sales, inventory adjustments and non-AP expenses. By default you approve each item (manual mode); in auto-mode every closed invoice goes straight to Xero and sales post early the next morning.

How does MarketMan send invoices to Xero?+

You connect Xero under Settings > Company Information > Accounting, map supplier and category accounts, then select invoices under Accounting > Invoices and choose Export to Xero. They land in Xero under Purchases, awaiting approval.

Does MarginEdge change Xero entries after sending them?+

No. MarginEdge's help centre says it never edits posted transactions or your chart of accounts. To fix one, delete it in Xero and resend, and watch for duplicates because Xero has no setting to block them.

Do Toast users pay extra for MarginEdge?+

MarginEdge passes through a Toast API fee, and Toast requires its Restaurant Management Suite at US$50 per location per month to unlock API integrations, per MarginEdge's pricing FAQ.
